Google Sheets · Data Entry
Manual data entry is slow, error-prone, and impossible to scale. We connect your forms, emails, and exports directly into one clean Sheet — with validation rules that catch bad data on entry.
Simple form-to-sheet flows fit Starter. Multi-source intake with validation and routing lives in Automation.

What it is
What it is — in plain language.
A data-entry pipeline is a small piece of plumbing that connects your inbound data sources — forms, emails, vendor exports, partner APIs — directly into a clean, validated Sheet. No human in the middle, no copy-paste, no swivel-chair integration. The pipeline runs on a schedule (or instantly on event) and surfaces clean rows your team can actually trust.
The value isn't just the time saved. It's the elimination of an entire class of errors — typos, missed records, duplicated leads, mis-keyed emails — that quietly poison every downstream report. When the source of truth is clean, the dashboards built on it become trustworthy. When a human is the integration, every report eventually drifts.
Who it's for
Built for teams that already live in Sheets.
Data-entry automation pays off the moment manual intake is consuming meaningful weekly hours, OR the moment a single mis-keyed record can cost real money. Both are common — sales teams losing leads to typos, finance teams getting AR aging wrong because someone copied the wrong invoice number, ops teams missing SLAs because intake was slow.
- Sales teams pasting form leads into the CRM
- Finance teams entering vendor invoices by hand
- Operations teams retyping daily reports from PDFs
- Marketing teams reconciling form submissions across tools
Form → Sheet → CRM pipelines
The classic pipeline starts with a form (Typeform, Tally, Google Forms, Jotform). The submission lands in your Sheet as a clean, validated row — required fields enforced, emails normalized, phone numbers standardized, source attribution attached. Then the same pipeline syncs that row to HubSpot, Pipedrive, Salesforce, or Notion as a new lead, deal, or contact.
Deduplication is built in. If the same person submits the form twice (or fills it on mobile, then desktop, then forwards it to a colleague who also fills it), the pipeline catches it and merges into a single CRM record with both submissions in the activity log. Your sales team stops getting paged about 'this lead came in three times' and starts getting one clean handoff per actual person.
- Typeform / Tally / Google Forms
- HubSpot / Pipedrive / Notion sync
- Dedupe & enrich on entry
Email & attachment imports
Half of B2B data still arrives as a PDF or CSV in someone's inbox: vendor invoices, supplier price lists, partner reports, customer order forms. We watch a dedicated Gmail label (or a Drive folder), parse the attachment, extract the structured rows, and append them to the right Sheet automatically.
For PDFs we use template-aware parsing — once we've trained the pipeline on a vendor's invoice format, every future invoice from that vendor lands cleanly in the Sheet without anyone touching it. New vendor formats are usually a 30-minute config job. The hard part — staying on top of which invoices arrived and which are missing — becomes a single 'review intake' tab anyone on the team can scan in 30 seconds.
- PDF / CSV / XLSX parsing
- Inbox-to-Sheet pipelines
- Per-vendor templates
Validation & cleanup rules
Bad data in is bad data forever — and 'forever' usually means it surfaces six months later in a board deck. We bake validation directly into the entry point: required-field checks, regex validation on emails and IDs, value-range checks on numbers, duplicate detection against existing rows. Anything that fails goes to a 'review' tab with a clear error reason, instead of silently corrupting your main data.
We also lock structurally important cells (header rows, formula columns, ID columns) so a well-meaning teammate can't accidentally break the pipeline by reformatting a column. Conditional formatting highlights rows that need attention, so the data quality story is always visible at a glance — not buried in a quarterly audit.
- Conditional formatting
- Cell-level locks
- Duplicate detection
Real example
What this looks like in practice.
Problem
A B2B agency was pasting Typeform leads into HubSpot by hand — 200+ submissions a month, ~3 minutes each, plus regular duplicates and typos that broke downstream sequences.
Solution
We built a pipeline: Typeform → validated Sheet row → deduped HubSpot contact → triggered welcome sequence — all in under 30 seconds, end to end.
Result
Saved ~10 hours/month, eliminated lead-entry typos, and shaved 24 hours off average lead-response time.
What you get
Every package ships with this.
- Source connection (form, email, API, or file watcher)
- Validation + normalization rules
- Deduplication against existing rows
- Optional onward sync (CRM, DB, Notion, Airtable)
- 'Review' tab for failed records
- Slack / email alerts on parse failure
- Loom walkthrough + handover doc
Timeline & pricing
How the package works.
Most data-entry pipelines ship in 2 weeks. Week one is source mapping and validation rules — getting the schema right is 80% of the work. Week two is the pipeline itself, the sync logic, and end-to-end testing on real data.
Simple form-to-Sheet flows fit the Starter package. Multi-source pipelines with CRM sync and validation logic move into the Automation tier ($1,500). Pipelines pulling from multiple APIs with custom enrichment land in Premium.
- Week 1: source mapping + validation design
- Week 2: pipeline build + production cutover
- 30-day post-launch support
Common questions
Questions teams ask before they hire us.
Anything with an API or a structured export. The common ones: Typeform, Tally, Google Forms, Jotform, HubSpot, Pipedrive, Salesforce, Notion, Airtable, Shopify, Stripe, QuickBooks, Xero, Gmail (for parsing inbound emails and attachments), and any REST API your vendors offer. For sources without APIs (legacy ERPs, older portals) we usually handle the daily CSV/PDF export by parsing it from a watched Drive folder or a dedicated Gmail label.
